Job Description:
The Operations Specialist is a member of the Wine & Spirit Education Trust Americas (WSETA) organization. Working remotely, they support the process, systems, and project needs of the WSET Global Finance and Operations Team.
Key Result Areas:
Systems Support
- Represent needs of WSET Finance and Customer Service in global and regional implementations of all current and future IT systems, including but not limited to NetSuite, Avalara, Webexpenses, eBizCharge, Microsoft Dynamics CRM, et al.
- Create and implement integrations, automations, and improvements to systems processes
Customer Service
- Support WSET sales processes and maintain spreadsheets, shipping calculations, NetSuite Imports as needed.
- Create and maintain SOPs for WSET Sales
- Maintain and update the WSET material order forms in MS Forms
- Assist Customer Service team with orders, shipping issues and inquiries as needed
- Support Inventory Manager with inventory management, reconciliation and process improvement
Finance
- Review and enter bills, employee expenses, and company credit card charges to ensure they are within company policy, are coded properly and have required supporting documents
- Prepare custom course data for month close entries
- Support WSET Invoicing processes by updating and maintaining excel spreadsheets for import needs as required
- Maintain and implement NetSuite customizations for imports, workflows, lists, dashboards, reports, etc.
- Work with project team to test and implement streamlined processes and integrations for invoicing and other finance functions
- Troubleshoot technical issues in NetSuite, Avalara, eBizCharge, and other software platforms by liaising with customer support to resolve
Other
- Carry out other ad-hoc assignments as needed
- Provide back up to Finance Team and Customer Service Team as needed
Skills and Competencies:
ESSENTIAL
- Proficiency with Microsoft 365 platform required, including but not limited to Microsoft Outlook, Excel, Forms, Word, PowerPoint
- Demonstrated success within an organization serving internal stakeholders with IT/systems support
- Demonstrated success working with operational software systems – finance, CRM, logistics, etc.
- Fluency in English
DESRIABLE
- Experience with NetSuite
- Experience with Microsoft Dynamics CRM
- Experience with Microsoft Power Automate and Power Apps
- Experience with Avalara
