We’re now looking for a warm, professional and proactive Receptionist & Student Advisor to join our London School team. This fully office-based role offers a salary of up to £27,500 and puts you right at the heart of the action – welcoming students and visitors, being the friendly first point of contact, and supporting our Student Services team with a variety of administrative tasks.
Overall Responsibility
Reception
- Greet and welcome visitors and students to the WSET School London.
- Ensure that students are signed in on the daily registers and direct them to the rooms where their courses are taking place.
- Ensure that all staff/visitors sign into the visitor’s book upon arrival and when they are about to leave the building.
- Ensure that the sign-in sheets are prepared weekly and checked daily to ensure that all additional students have been accounted for and sit-ins have been added to the sign-in sheets.
- Monitor and ensure that the reception area is kept tidy and projects a business-like image.
- Monitor stock levels of study materials for students.
- Ability to promote courses to students and drop-in customers.
- In the event of a fire and/or any other emergency, which requires staff to leave the building.
- To be responsible for ensuring that the visitors book and student registers are removed from reception and taken to the meeting point.
- Answer incoming calls, screening, taking messages and responding where possible.
- Receive and sign for any deliveries to WSET School London, informing the relevant staff of arrival and log onto the delivery spreadsheet.
Student Administration - To assist the Student Services team with processing bookings for courses or events and ensure that all personal records, both paper and electronic, are maintained accurately and securely and conform with GDPR UK.
- Assist with responding to student queries from the Student Services mailbox.
- Assist with filing and archiving of administrative materials.
- Issue materials, eBooks and administer access to online classroom where needed.
Telephone System - The WSET School London phone line operates from 8:15am to 18:00pm (Mon - Fri), receive and transfer calls across the business via Teams.
Customer Service - Create a welcoming environment for students and guests at WSET School London
- Communicating courteously with customers on the telephone, via email and face-to-face.
- Listen to customers and identify and assess customers’ needs to achieve satisfaction.
- Customer orientation and ability o adapt, respond to different types of characters.
- Work with the other Receptionist & Student Advisor and the Student Services Team Leader to ensure excellent customer service is delivered.
Post & Deliveries - Receive and sign for any deliveries to the WSET School London and informing the relevant staff of arrival and log onto the delivery’s spreadsheet.
- Receive and sign wine deliveries, advising the Operations Team upon arrival and log receipt on spreadsheet.
- Receive and sign for exam paper(s) sent by other Approved Program Providers (APP), which are delivered by courier(s) or in person. Ensure that any exam packages received are entered on the exam’s spreadsheet. The spreadsheet is then sent the awarding body (If required).
Staff Development - To undertake staff development where appropriate.
- Responsible for your training and development plan.
- Completed relevant CPD as identified by your Line Manager.
- Contribute to 1-1’s and the appraisal process with your Line Manager.
Other Duties - Maintain the admin to queries received or direct to the relevant teams for a response.
- Understanding of the Online Classroom and respond to any queries (If required).
- Where appropriate participate in trade fairs and other promotional events and opportunities for WSET.
- Flexibility to undertake other tasks as directed.
- Contribute to the successful overall operation of the Trust by undertaking such other tasks as may from time to time be requested.
